Job Description

Responsible to:            Chapter President, Members of the Chapter’s Executive Board, and Members of the Mt. Baker Chapter of SHRM/NHRMA.

 

Function:                      The Secretary serves the Chapter by taking minutes and maintaining the official records of the Board of Directors’ meetings.

Duties:

 

1.       Takes minutes at Executive Board meetings, and record members in attendance.

 

2.       Maintains a permanent record of the Chapter Bylaws and dated copies of each revision to those Bylaws.

 

3.       Maintains a record of current officers, committee members, and the general membership.

 

4.       Maintains a record of all Chapter correspondence, including announcements, newsletters, and/or other information.

 

5.       Picks up Chapter mail at the post office and distributes to appropriate board members.

 

6.       Copies minutes of board meetings for distribution to and approval by members of the Chapter’s Board of Directors and, when minutes are approved, makes copies available to Chapter members attending monthly meetings.

 

7.       Sends thank-you letters to speakers after the monthly general membership meetings.

 

8.       Notifies President if unable to attend board meetings and makes arrangements for another board member to take minutes of the meeting.

 

9.       The Secretary should transmit all necessary annual election information to the membership; and should inform SHRM headquarters of the results.

 

10.   The Secretary may chair the telephone committee, organizing members to call other members, informing them about meetings, speakers, events, changes, etc.

 

11.   The Secretary is responsible for distributing to the membership all announcements, special events, and other information that is not already placed in the newsletter or on the website for distribution.  This information should also be sent to the district director, the state director, and SHRM headquarters.

 

12.   Represents the Chapter in the Human Resources community and actively promotes the awareness and support of its activities

13.   Immediately upon leaving the office of Secretary, and no later than the January board meeting, forwards all materials and/or information related to the position to the incoming Secretary.

 

14.   Attends meetings of the board and general membership on regular basis in order to keep informed of chapter activities.

 

15.   Uphold SHRM Code of Ethics and the Chapter By-laws.

 

Qualifications:              Must be a member of SHRM and possess up-to-date knowledge in the general areas of Human Resource Management.
